Updates county telephone directory.
Responsible for the daily distribution of incoming and outgoing mail.
Coordinates with county departments to prepare the annual report.
Assist in administrative duties for the county's health insurance plan.
Assists with accounts receivable and payables.
Reviews payroll and time sheets for accuracy.
Assists in compiling official actions/resolutions and distribution of documents for Commissioner meetings.
Serves as a backup to the Clerk and attends meetings in her absence.
Schedules meetings for Commissioners and prepares proclamations.
Assist County Administrator in any necessary fiscal responsibilities.
Assists and/or coordinates preparation of annexation requests, road and ditch petitions.
Essential Knowledge, Abilities and Skills, Education To be successful in this position, the incumbent must:
Be a high school graduate or equivalent Have two (2) years' experience in an office setting utilizing Excel and Word programs Ability to formulate letters, proclamations and documents for signatures Ability to read and follow Ohio Revised Code instructions for proper procedures Ability to communicate effectively and interact with the general public and county officials; must have good customer service outlook Ability to learn and use web-based systems for administration of various health insurance duties, sale of county property, website updates, as well as banking functions Be able to multi-task and work without daily direction; Have a valid Ohio drivers' license; and Current or shall become a Notary Public Essential Functions of the Position 1.
Answers and directs calls that are made to the Courthouse switchboard.

Directs and assists visitors to the courthouse to the appropriate offices.
3.
Schedules conference rooms, Commissioners' meetings and vehicles as requested.
4.
Assist Resource/Benefits Clerk with administrative functions of the employee health plan.
5.
Assist with resolutions/official actions for Commissioners' meetings and distribution of signed documents.
6.
Assist with obtaining signatures, copy and distribute agreements/documents from Commissioners' meetings.
7.
Represent Clerk in her absence.
Attend Commissioners' meetings; record and document minutes.
8.
Assist with indexing of previous years Commissioners' journals.
9.
Assist and/or coordinate preparation of annexation requests, road, vacation/establishment petitions, ditch petitions, proclamations.
10.
Assist coordinating with departments for sale of items on the internet auction site and coordinating with buyer and department for payment and removal of items.
11.
Coordinates with county departments for preparation of the county annual report.
12.
Responsible for computing/cross checking of payroll and invoicing departments for overtime reimbursements as necessary.
13.
Assist with troubleshooting copiers and call for repairs.
14.
Order postage machine supplies; etc.
15.
Assist Clerk with accounts payable for processing invoices, creating new vendor accounts, creating purchase orders, and ensuring funds are available for such.
16.
Confirm and process daily deposits and withdrawals from county funds to coordinate with Auditor/Treasurer.
Check for incoming wires - process pay-ins for such and daily debits for flexible spending account usage.
17.
Perform wire transfers and/or ACH payments for health insurance vendors.
18.
Assist with the monthly administrative invoices for payment and accuracy.
19.
Responsible for updating appointment of members to various boards and committees.
20.
Responsible for emergency and/or drill notifications over PA system and telephone system to employees and visitors.
21.
Update auto attendant information for departments.
22.
Update of courthouse information brochure 23.
Assist County Administrator in fiscal responsibilities as requested.
24.
Other duties as assigned.
Job Location & Schedule Work is performed at the Courthouse and outlying County Offices as assigned.
Schedule will be Monday through Friday, 8:
00 am - 4:
30 pm with a flexible, unpaid 30-minute lunch.
Equipment Used Work is performed in an office environment using computers, multi-line telephone, postage machine, time stamper, PA system, calculator, copy machine, fax machine, electronic recording device, and scanner.
Critical Skills/Expertise Effective communication skills, above average computer knowledge; ability to handle interruptions and perform multiple tasks; dependable and honest; must maintain confidential information and be a team player; develop and maintain effective relationships with other county employees and officials.
